Based in Denver, CO, River North area. This position is a hybrid role supporting the C-suite leadership team. 

Description

The Executive Administrative role provides high-level support to executive leadership by managing complex scheduling, coordinating travel, handling sensitive information, and ensuring seamless day-to-day operations. This position requires exceptional professionalism, discretion, and attention to detail, along with the ability to work both independently and collaboratively in a fast-paced environment.

The ideal candidate is proactive, resourceful, and exercises sound judgment in anticipating needs, resolving issues, and prioritizing a dynamic workload. This role demands strong organizational skills, adaptability, and the ability to manage multiple competing priorities with efficiency and accuracy.

Responsibilities

  • Manage complex executive calendars, ensuring alignment of priorities and avoidance of scheduling conflicts
  • Coordinate meetings (in-person and virtual), including room reservations, technology setup, materials preparation, and catering as needed
  • Partner with IT and A/V teams to support conference room functionality and offsite meetings
  • Arrange and manage detailed domestic and international travel itineraries across multiple time zones; proactively adapt to changes and disruptions
  • Monitor deadlines and priorities; proactively remind executives of upcoming commitments and action items
  • Screen calls, manage correspondence, and serve as a professional point of contact for internal and external stakeholders
  • Greet visitors and maintain a high level of professionalism and discretion in all interactions
  • Prepare and submit expense reports using Concur in a timely and accurate manner
  • Support and help coordinate company events, meetings, and conferences
  • Draft, edit, and format correspondence, reports, presentations, and other business documents
  • Compile, analyze, and present data using Microsoft PowerPoint and Excel
  • Continuously identify opportunities to improve administrative processes and efficiency

Qualifications

  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment
  • Demonstrated ability to anticipate needs, identify potential issues, and implement solutions proactively
  • High level of discretion and sound judgment when handling confidential and sensitive information
  • Strong problem-solving skills with the ability to think both creatively and strategically
  • Exceptional interpersonal skills; ability to build relationships and collaborate effectively across all levels of the organization
  • Self-motivated with the ability to work independently as well as part of a team
  • Proficiency in Microsoft Office Suite, including Teams, Outlook, Word, PowerPoint, and Excel
  • Experience with expense management systems (e.g., Concur) preferred
  • Flexibility to work extended hours or overtime with minimal notice, as needed
  • High School Diploma or GED
  • 5-10 years total experience
  • Ability to travel for business purposes
